What IRCC checks

Applications come back for the translation, not the document

Four things decide whether your translation is accepted. All four are on us.

Required

  • A translator holding a translation degree, working in the country where the translation is made
  • The complete document: main text, every stamp, seal, handwritten note and the apostille
  • The original or a certified copy, submitted together with the translation
  • The translator's signature and stamp, and — for translations made outside Canada — a declaration sworn before a notary

Rejected on sight

  • A translation made by you, the applicant
  • A translation made by anyone in your family, down to a first cousin
  • A translation made by your representative or consultant
  • A summary, a partial translation, or machine translation

Before you pay anyone

Ukrainian documents for Canada do not need an apostille

For an IRCC application, a certified translation is enough. If you are being charged for an apostille on a Ukrainian birth certificate for use in Canada, you are paying for a stamp nobody will ask you for.

If a Ukrainian document does need an apostille — for a purpose other than an IRCC filing — we arrange it in Ukraine, together with the translation. Apostilles on Canadian documents are issued by the provincial authorities and Global Affairs Canada; that is not something we do.

Global Lingo Canada is a Canadian company. Everything runs remotely: you send your documents by email or messenger, and receive files ready to attach to your application, wherever in Canada you are.

Behind the work is a translator practising since 2001, across more than 45 languages. We handle documents issued in Ukraine end to end — translation, notarial certification and, where a document needs it, the apostille itself.

Highly recommend. I have used them more than once — translations into several languages (English, German, Bulgarian, Polish) and apostilles as well. Everything fast and done properly, and they are always reachable. The whole thing can be handled online.

Excellent service. Fast, reliable and no fuss. They did a translation with an affidavit, and an affidavit for translations that were already done. Everything was ready in two days, and the price does not bite. Special thanks to Ievgen — responsible, friendly, and always in touch.

Questions and answers

What people ask most

IRCC says “translations by certified translators” — do you qualify?

Yes. IRCC sets out two equally valid routes: a translation stamped by a certified translator or a translation accompanied by an affidavit from the translator, sworn before a notary. We work through the second route. There is no single worldwide register of translators — IRCC recognises membership of an association “in Canada or abroad”, and where there is no such membership, the affidavit is the prescribed alternative. Separately: the line “we do not accept copies signed by notaries” in IRCC letters refers to original documents when they are requested, not to the translation. IRCC instructions on canada.ca

Does IRCC accept your translations?

Yes. IRCC accepts a complete translation together with a notarised affidavit from the translator. In our practice there has not been a single refusal: we prepare each package with a margin so that it is accepted the first time.

What is the difference between your stamp and notarial certification?

They are two separate services. Our stamp confirms the translation is complete and accurate — 25 CAD per document. The notary certifies the translator’s signature — 20 CAD for each document. Some authorities ask for both, so we price them separately.

Do Ukrainian documents need an apostille for Canada?

For IRCC, no — a translation is enough. We arrange apostilles only on Ukrainian documents and only when a specific authority asks for one. We do not issue apostilles in Canada: that is handled by the provinces and Global Affairs Canada.

What does it cost for several documents?

Each document is 25 CAD, and notarial certification is 20 CAD per document rather than per order. Diploma transcripts, employment record books and military service records are priced separately — we confirm the cost once we see the files.

Can I send a photo taken on my phone?

Yes, as long as it is clear: all four corners visible, text readable, no glare or shadows. A scan works too. If the quality is not good enough to work with, we tell you straight away.

How long does it take?

One business day for standard documents. We reply every day, including evenings and weekends, so your request will not sit until Monday.
